Business Terms

1. How my process works

a) We have an exploratory no-obligation call to identify what you want and how I can deliver.
b) We meet to discuss your project in more detail and agree on the date and location(s), and explore image format options. I will take a deposit of £50 at this stage to secure your booking.
c) Between our pre-shoot meeting and the date of the shoot, you pay the balance of the agreed session fee. (See Pricing for details.)
c) We meet at the agreed time and location for the photo shoot. This can be outdoors on location, indoors (your home or office, for example), or at my studio in Battle, East Sussex. (All £95 headshot package shoots take place at my studio.)
d) I select and edit the best images from the shoot — this takes up to 14 days. e) I upload these selected images to a private viewing gallery in Pixieset* and we meet at my studio or your home/office for you to shortlist, and/or request any further edits. You will have access to your personal Pixieset gallery until you have made your final selection.
f) Once you have made your final selection, you pay me in full for these images in the format(s) you have chosen. (See Pricing for details.)
h) I deliver your final image set in the format(s) you have requested. Delivery times vary — please check with me before ordering.

 

2. Standard payment terms

2.1 A non-refundable booking fee of £50 is required to secure your photo session date and must be made before the session is confirmed. This fee is deducted from the total cost of the photography package. In case of cancellation, the booking fee is non-refundable.

2.2 The remaining balance is due seven days before the session via bank transfer or Stripe. You can pay in installments by agreement, provided I receive full payment before the shoot.

2.3 Professional and business Clients

  • A deposit of 50% of the full session fee secures the session booking.  The remaining 50% is due within 14 days of the session, via invoice.  
  • Accepted Payment Methods:
    • Bank transfer
    • Stripe for card payments
  • Late Payment Policy:
    • A 10% interest fee will be applied to overdue invoices.
    • Full resolution images will not be provided until the invoice is settled.
    • Any legal costs incurred in recovering payment will be your responsibility. 

3. Gift cards

3.1 Gift cards are valid for 12 months from the date of purchase. They can be used towards full or part-payment for outdoor and other location shoots and sessions at my studio.

4. If you cancel

4.1 You may reschedule your session up to one week before the shoot for any reason. Cancellations made within one week must be due to valid reasons such as illness.

5. If I cancel

5.1 If weather conditions or unforeseen circumstances prevent the session from proceeding, I will offer an alternative date at no additional charge.

5.2 I am not liable for cancellations due to factors beyond my control, such as natural disasters or government regulations. I’ll offer a rescheduling option where possible.

5.3 If I cancel the session and am unable to provide an alternative date, you will receive a full refund, including your deposit.

6. Session Fee — what’s included & excluded

6.1 The session fee includes standard editing (e.g., colour balance and general retouching). Advanced editing requests, such as object removal or digital alterations, may incur additional fees.

6.2 The session fee includes a product credit of £50, which can be applied toward the purchase of prints or digital images. Print orders are typically delivered within four-six weeks.

6.3 The session fee covers my photography services within 10 miles of Battle, East Sussex. Locations beyond this radius may incur additional per-mile charges

6.4 Please arrive on time for your session. If you are more than 30 minutes late, I reserve the right to cancel and reschedule. This will incur a fee of £50.

6.5 Please do not take your own photographs during the session without my express permission. 

7. Pet sessions — your owner responsibilities

7.1 You must ensure your pet is under control at all times during the session. I am not liable for any injuries to you, your pet, or third parties resulting from the session. Please see Liability Waiver below. 

7.2 If your pet shows signs of extreme stress or aggression, I reserve the right to stop the session. I reserve the right not to issue a refund if the session cannot proceed due to the pet’s behaviour. Please see Liability Waiver below. 

7.3 You must let me know in advance if your pet has any medical conditions or behavioural concerns that may impact our session.

8. Children and family sessions — your responsibilities

8.1 I require written consent from a parent or guardian before I can photograph children. This includes their agreement on how images will be used, stored, and shared. 

8.2 A parent, guardian, or other adult nominated by you must be present at all times during photography sessions involving children, whether at my studio or on location.

8.3 You are responsible for your own safety and that of your children during the photography session, whether that’s at my studio or on location. I am not liable for any injuries anyone may sustain. Please see Liability Waiver below. 

8.4 Please ensure children are prepared for the session, including being fit, well-rested and fed. If a child becomes too uncooperative or unruly for me to capture the quality images you are looking for, I reserve the option of rescheduling the session, whether that is at my studio or on location. I reserve the right to charge a rescheduling fee to do so. Please see Liability Waiver below. 

9. Liability waiver

9.1 I am not responsible for any injuries that may occur during the session. However, reasonable care will be taken to ensure a safe environment for all participants.

10. Your image use — restrictions and permissions

10.1 You can share your images for personal use, including social media, but you may not sell them, enter them into competitions, or use them for commercial purposes — unless they have been created for this specific purpose as part of our contract — without my written permission.

11. Digital images — resolutions

11.1 If you are viewing images with me in person, these will be at full resolution and unwatermarked. If you are viewing them in an online gallery, they will contain a watermark to ensure proper attribution and prevent unauthorised reproduction.

11.2 Purchased digital images will not contain any watermark. Resolution supplied will depend on what you have purchased. My £95 headshot packages include three digital images supplied at low-resolution for web and social media use. 

12. Copyright — our respective rights  

12.1 I retain copyright for all images. You are granted a personal-use licence but you cannot reproduce, edit, or sell any images without my written consent. 

12.2 If your images are for your business — e.g., headshots or products — you may use them for promotional purposes (website, social media, digital and print collateral, &c) but they may not be used by third parties without my written consent.

12.3 I reserve the right to use your images for promotional and marketing purposes on my website, on social media, and in print materials unless you explicitly withdraw your consent.   

13. Post-session refunds

13.1 As photography is a bespoke service, I do not normally offer refunds after I’ve delivered all the agreed elements and you have signed these off. If however you later have any concerns, you must contact me within seven days of receiving your final shortlisted images. I cannot make any changes or refunds once your images have been despatched to the printer.

13.2 In the unlikely event I cannot deliver images that meet my own high professional standards due to unforeseen technical issues, I will offer, at my discretion, a full or partial refund or a new photography session.

Please note that your images will be edited and securely stored online using Adobe Lightroom and also stored in your personal Pixieset viewing gallery.
